AI workflow checklist for small businesses

Start with one repeatable task, a small sample and a person who checks the result. Write down what the AI may do, what needs approval and what happens when it is wrong. This worksheet helps you design a test; it does not guarantee time savings or revenue.
1. Describe one job and a clear finish line
A task such as “improve my business” is too broad to evaluate. “Draft replies to ten common delivery questions using our published delivery policy” has a defined input and a result you can check.
Write: task owner; input source; expected output; what a correct answer must include; what the system must never promise. Use sample or anonymized information first, not a complete customer database.
2. Keep consequential actions behind approval
Drafting a reply and sending it are different permissions. Preparing an ad and spending money are different permissions too. Start with drafts. Decide who can approve publishing, payments, refunds or changes to customer records.
Give a workflow only the access its task needs. Do not paste passwords, OTPs or payment-card details into prompts. A document or website the AI reads is information, not authority to change your rules.
3. Compare a small test with your current process
For the same sample, record manual time, AI-assisted time including review, mistakes, corrections and any usage cost. If review takes longer than the original task, simplify the workflow before expanding it.
Try a missing input, an ambiguous request and an instruction that conflicts with your rules. A useful workflow should ask for clarification or stop safely, not silently invent an answer. Keep the original method available while testing.
